How our prequalification paperwork service works
We take the blank prequalification forms or portal task lists on your desk, organize your company records, fill out the paperwork, and hand it back for your review. With your permission, we can also upload it to your portal account.
Step 1: Send your forms and existing records
After you request a quote and approve the scope of work, you share the prequalification forms or portal task lists you need completed along with the documents your company already has on file.
We give you a clear checklist of what to gather based on the specific forms you are working on. This usually includes:
- OSHA 300 and 300A logs for the past 3 years
- Total employee hours worked per year (for TRIR and DART calculations)
- Experience Modification Rate (EMR) letters from your workers' compensation carrier
- Current Certificates of Insurance (COI) and broker contact information
- Written safety manual, hazard-specific safety programs, and sample training records
- W-9, contractor license numbers, and project references
Step 2: We draft responses and organize files
We go line by line through the questionnaires, whether they are standalone client PDF/Excel packets or tasks inside ISNetworld, Avetta, or Veriforce.
- We transcribe your historical injury numbers and hours worked and compute TRIR and DART rates where requested.
- We answer policy and procedure questions using your actual written safety manual and company practices.
- We organize and label every supporting file (such as splitting out specific safety program chapters or redacting names on OSHA 300 logs if required) so each attachment matches what the form asks for.
- If anything is missing, such as a specific insurance endorsement or an unsigned 300A summary, we flag it in a short list so you know what to ask your broker or leadership team for.
Step 3: You review and approve everything
Your company is responsible for the accuracy of the representations made to hiring clients. Before anything is submitted, we return the filled-out forms and organized attachments to you for review.
You check the answers, confirm that all figures and operational descriptions match your company's actual practices, and sign any required attestation pages.
Step 4: Submission or permitted portal upload
Once you have reviewed and approved the materials, you choose how to finish:
- Direct submission by your team: For PDF, Word, or Excel packets sent by a general contractor, you email or upload the finished package directly to your client.
- Permitted portal upload: For platform accounts, you can either enter the reviewed materials yourself or give us permission to log into your account to upload the documents and fill in the questionnaire answers on your behalf.
One-time vs. ongoing annual support
Contractors work with us in two ways:
- One-time project quote: You have one or several prequalification forms or portal setups due for an upcoming bid or contract award, and you want help getting them finished.
- Annual support quote: You maintain accounts across one or more portals or regularly receive general contractor prequalification packets throughout the year, and you want help with annual OSHA log updates, quarterly hour entries, and new client connections.
What we do and do not promise
Our commitment: We guide you through the paperwork requirements and help complete the forms and document uploads, using the records you provide. You review and submit, or give us permission to upload.
What we do not promise: We do not promise grades, scores, passing results, approvals, compliance determinations, or turnaround times. The hiring client or platform makes every grading, audit, and approval decision.
